Privacy Policy

Who we are

Ilusound Photobank (“Photobank”) is a private, internal tool used by Ilusound staff to upload, tag and browse photographs and videos from the events we produce. It is operated by Ilusound and developed by Rojocuadrado LLC.

Photobank is not a public service. Accounts are created by invitation only, and there is no way to sign up without one. If you are reading this without an account, nothing described below applies to you.

What we collect

Account information

When you are invited, we collect your name, email address and username. Authentication — including your password — is handled by Clerk, our identity provider. We never see or store your password.

Photos, videos and their descriptions

Photobank stores the images and videos you upload, together with the tags, titles, descriptions and event names you attach to them. These are company work materials, stored on Cloudinary.

Location data

Photographs frequently carry GPS coordinates embedded by the camera (EXIF). Photobank reads those coordinates and preserves them so that images can be shown on a map. In the iOS app you may additionally turn on Attach current location, which records your device’s location at the moment of upload. That toggle is off unless you enable it, and iOS will ask your permission the first time.

Location is used for one purpose only: placing event photographs on a map inside Photobank. We do not track your movements, and we do not use location for anything else.

Technical logs

Our hosting provider records standard server logs (IP address, timestamp, requested URL) for security and reliability. These are not combined with your uploads to build any kind of profile.

What we do not do

• We do not sell or rent your information to anyone.
• We do not run advertising, and there are no advertising or tracking SDKs in the app or the website.
• We do not use analytics products that profile you across other apps or websites.
• We do not share your uploads outside Ilusound.

Face ID and Touch ID

The iOS app can be locked with Face ID or Touch ID. That check is performed entirely by iOS on your device. Biometric data never leaves your iPhone or iPad and is never available to us — we only receive a yes-or-no answer from the operating system.

Service providers

We rely on a small number of processors, each handling only what it needs to:

• Clerk — accounts, sign-in and session management.
• Cloudinary — storage and delivery of uploaded images and videos.
• Vercel — hosting of the Photobank web application.
• OpenStreetMap — map tiles on the website; Apple Maps — maps inside the iOS app.

How long we keep things

Uploaded media stays in the library until an administrator deletes it, because it is a working archive of company events. Your account remains active until Ilusound revokes your access, at which point you can no longer sign in.

Your choices

• Location: revoke Photobank’s location access at any time in iOS Settings → Privacy & Security → Location Services. The app continues to work; new uploads simply carry no device location.
• Photo access: iOS lets you grant access to selected photos only, rather than your whole library.
• Your data: to request a copy of your account information, correct it, or have it deleted, email us at the address below. Note that photographs of company events are business records and may be retained even after an individual account is closed.

Children

Photobank is a workplace tool intended for Ilusound staff. It is not directed at children and we do not knowingly collect information from them.

Changes

If this policy changes materially we will update the date at the top of this page and notify staff through the app.
